Workplace Manager

Description:

The Workplace Manager will be responsible for a variety of functions critical to the development of the Company and the smooth running of our HQ in London. Detail and flexibility are key, you will need to draw on your multi-tasking and organizational abilities in this hands on, facilities and hospitality focused, client facing, varied role, with no two days the same.  There will be exciting opportunities to support on Workplace based projects in London/EMEA and ensuring the success of our Front-of-House function.

Office based Monday-Friday in West London, the position will report into the Head of Property & Workplace.

Main Responsibilities:

Office & Facilities Operations

  • Oversee the smooth, daily running of the office, maintaining a clean, safe, and professional environment
  • Liaise with cleaning, security, and maintenance contractors to ensure service standards are met
  • Manage building access via the Paxton system, keeping security records up to date
  • Maintain inventory and order office supplies and consumables, working with external vendors
  • Coordinate desk moves, office layout updates, and workspace setup as needed
  • Log and manage maintenance requests—overseeing reactive and planned works through contractors
  • Ensure health & safety procedures are followed and that required training (first aid, fire warden) is in place

Reception Management & Cover

  • Manage the full-time receptionist, providing guidance, setting expectations, and ensuring daily coverage
  • Provide reception cover during breaks, absences, and peak periods as needed
  • Oversee guest arrivals, calls, deliveries, and general reception duties
  • Support onboarding logistics to ensure a smooth welcome for new employees

Travel & Administration

  • Coordinate C-Suite business travel and accommodation via our Travel Partner
  • Support employee secondments and relocations with accommodation and logistics
  • Manage credit card statements and monthly expense reports through Concur
  • Oversee company taxi accounts and bookings

Workplace Projects & Business Support

  • Support workplace-related projects, including office relocations and
  • Contribute to ongoing improvements in workplace operations across London and the EMEA region
  • Adapt workflows and support systems to meet the needs of a growing, dynamic organisation

Culture & Engagement

  • Assist in planning office events, team lunches, and internal activities
  • Help promote a collaborative and inclusive office culture

  • Excellent grasp of the English language, both written and verbal, second language desirable but not essential
